The FSU Health Lifestyle Medicine Clinic at the College of Nursing is seeking a professional, dependable, and patient-focused Medical Office Receptionist to provide front-office support and help ensure an efficient and welcoming experience for our patients.

Responsibilities
  • Greet and check patients in and out in a professional and courteous manner.
  • Answer incoming telephone calls, route messages, and respond to routine patient questions within the scope of the position.
  • Schedule, reschedule, and confirm patient appointments.
  • Maintain accurate patient demographic, contact, and insurance information.
  • Assist with patient registration and completion of required forms. Verify that necessary documentation is available prior to patient appointments.
  • Collect applicable copayments or patient payments and provide appropriate documentation.
  • Monitor provider schedules and communicate scheduling concerns or changes to appropriate clinic staff.
  • Assist patients with general questions regarding appointments, clinic procedures, referrals, and medical record requests.
  • Communicate patient messages to providers and clinical staff in a timely and accurate manner.
  • Maintain patient confidentiality and comply with HIPAA and applicable FSU Health policies and procedures.
  • Maintain an organized and professional reception and waiting area. Assist with scanning, filing, faxing, medical records, and other general administrative duties.
  • Coordinate with medical assistants and providers to support efficient patient flow throughout the clinic.
  • When the Medical Assistant is unavailable, assist with obtaining non-invasive vital signs, such as blood pressure, when appropriately trained and authorized to do so.
  • Perform other duties as assigned to support clinic operations.

Qualifications
  • High school diploma or equivalent.
  • Strong customer service and interpersonal skills.
  • Excellent verbal and written communication skills.
  • Ability to communicate professionally with patients, providers, coworkers, and outside organizations.
  • Strong attention to detail and ability to maintain accurate records. Ability to maintain confidentiality and appropriately handle protected health information.
  • Ability to manage multiple responsibilities and prioritize tasks in a busy medical office environment.
  • Basic computer proficiency, including experience with Microsoft Office and the ability to learn electronic health record and scheduling systems.
  • Dependable attendance and punctuality.
  • Ability to work effectively both independently and as part of a healthcare team.

Preferred Qualifications
  • Previous experience working in a medical office, physician practice, outpatient clinic, or other healthcare setting.
  • Experience with electronic health record (EHR) or practice-management systems.
  • Experience scheduling medical appointments and communicating with patients by telephone and electronic messaging.
  • Knowledge of basic medical terminology.
  • Experience with health insurance verification, patient registration, and medical records.
  • Experience obtaining blood pressure and other basic vital signs.
  • CPR/BLS certification or willingness to obtain certification, if required by the clinic.
  • Experience working with multidisciplinary healthcare teams.

    • Ability to remain calm and courteous when assisting patients with questions or concerns.
    • Strong organizational and time-management skills.
    • Ability to recognize when a patient concern should be immediately referred to clinical staff.
    • Ability to follow established clinic policies, procedures, and workflows.
    • Willingness to cross-train in additional front-office functions as needed.
    • Ability to adapt to changes in clinic schedules and operational needs.

Helpful

The ideal candidate will have previous medical office experience, excellent communication and organizational skills, and the ability to work effectively in a fast-paced clinical environment. This position serves as a primary point of contact for patients and works closely with providers, medical assistants, and clinic leadership to support daily clinic operations.
