As a Front Desk Medical Records Coordinator, you will play an essential role in creating a positive patient experience while ensuring the accuracy, security, and organization of medical records. This position combines front-office responsibilities with medical records management, making it ideal for someone who enjoys patient interaction, administrative work, and maintaining accurate healthcare documentation.

Key Responsibilities
• Provide exceptional customer service by greeting patients and visitors in a professional and welcoming manner
• Answer and direct incoming telephone calls appropriately
• Perform patient check-in and check-out processes accurately and efficiently
• Enter and maintain patient demographic information within the Electronic Health Record (EHR) system
• Verify insurance information, contact details, and other patient information to ensure billing accuracy
• Confirm patient appointments and schedule follow-up visits as needed
• Collect co-payments and process patient payments accurately
• Receive, route, and process patient messages, documents, and correspondence
• Process and maintain medical records in accordance with legal, ethical, regulatory, and organizational standards
• Upload and organize medical records, patient documents, and physician orders within the EHR system
• Scan and index patient records to ensure accurate and timely documentation
• Monitor the movement and tracking of patient charts and records
• Maintain secure storage of protected health information and confidential documents
• Process subpoenas and legal document requests according to company procedures
• Assist clinical and administrative staff with record retrieval and documentation needs
• Support efficient patient flow and help minimize wait times
• Ensure compliance with HIPAA, OSHA, and company policies and procedures
• Perform additional duties as assigned
Qualifications
• High school diploma or equivalent required
• Previous experience in a medical office, healthcare setting, clerical role, or medical records environment preferred
• Experience with Microsoft Office applications required
• Knowledge of Electronic Health Records (EHR) systems preferred
• Knowledge of medical terminology preferred
• Strong organizational skills and exceptional attention to detail
• Excellent customer service and interpersonal skills
• Strong written and verbal communication abilities
• Ability to manage multiple priorities in a fast-paced environment
• Experience processing payments and using credit card terminals preferred
• Ability to maintain strict confidentiality when handling patient information
• Strong problem-solving skills and professional judgment
• Bilingual in English and Spanish or English and Creole preferred
