The Facilities Maintenance Coordinator is responsible for multiple functions within the facilities department utilizing the workorder system. They will be responsible for dispatching emergency repairs, scheduling preventative maintenance with clinic leaders, contractor administrative oversight, and administrative security support. Additionally, the Facilities Maintenance Coordinator will provide administrative support, order supplies, work order management/reporting, project administrative support, environmental services coordination and minor oversight.

- Work order request management and reporting for all clinics.
- Compliance management for all life safety equipment, fire alarm, extinguishers etc. for all facilities.
- Coordination management of janitorial services with vendors for all facilities.
- Follow up on delayed or pending requests with clinic leaders and monitor updated work orders.
- Review and update approved vendor list and ensure compliance. Follow up on all vendor calls.
- Communicate with clinics regarding unclear or questionable requests.
- Keep accurate and organized records/reports generated by the workorder system.
- Assist in placing orders and sourcing products from facility work requests with teammates.
- Maintain and order janitorial supplies for consolidated health centers.
- Provide administrative support for Real Estate department as needed.
- Oversee response to emergency facility repair calls along with dispatch coordination between facilities and clinic leadership.
- Oversee preventive maintenance work requests for mechanical, life safety and security equipment.
- Order and maintain housekeeping and facility supply inventories for all regions.
- Capture, record, and document cost saving repairs for the facilities department and share with units monthly.
- Demonstrate and embody the Women's Care mission and core values.
- Compliance with all HIPAA rules, regulations, and guidelines.
- Other duties as assigned.
Qualifications:
- Experience or knowledge of working in a healthcare facility preferred.
- Must be organized and able to manage multiple projects simultaneously, while prioritizing responsibilities and duties.
- Must be able to communicate effectively, tactfully, clearly, and concisely.
- Strong verbal and written communication skills.
- Must have a strong sense of urgency and customer-focused mindset.
- Ability to exercise discretion and maintain strict confidentiality on all matters.
- Must be detail oriented and able to work independently.
- Ability to communicate effectively on a one-on-one basis or in a group setting.
- Proficient in MS Office and computer-related tasks.
- Must be dependable, reliable, and punctual.
